Damage, loss, and claims
Document well. Treat people fairly.
Last updated: September 30, 2026
AYCR connects independent Owners and Renters. Both parties should document equipment carefully so that legitimate questions can be handled fairly.
Before and during a rental
Owners should use accurate photos, disclose existing damage, and document the item before handoff when appropriate. Renters should inspect the item at pickup, take photos, and report visible damage or a safety issue before use.
A Renter must promptly tell the Owner about damage, an accident, theft, loss, malfunction, or injury connected to the item. For theft, significant property damage, or an accident where a report would ordinarily be appropriate, AYCR may request an incident or police report.
Submitting and reviewing a claim
Owners should inspect returned equipment promptly. A damage claim should generally be submitted within 24 hours after return and before the item is rented to another person, whichever occurs first. A claim should include available before-and-after photos, a damage description, repair estimate, proof of ownership, replacement information when repair is not possible, relevant communications, and applicable incident reports.
AYCR may give the Renter an opportunity to review and respond. A failure to respond does not eliminate responsibility for a valid claim. AYCR may facilitate communications and review available records, but is not an insurer and does not guarantee that a claim will be paid or resolved in favor of either party.
Wear, repair, and replacement
Renters are not responsible for ordinary wear and tear from authorized use. Ordinary wear and tear does not include damage caused by misuse, negligence, unauthorized use, failure to follow instructions, prohibited use, loss, or theft resulting from a failure to use reasonable security precautions.
A claim should reflect the reasonable cost to restore the item to its pre-rental condition. If repair is reasonable, a Renter should not be charged to replace an entire item. For a total loss, factors may include age, condition, market value, original purchase price, depreciation, and comparable replacement cost. A claim is not intended to put an Owner in a better position than before the damage.
Charges and insurance
AYCR will not characterize a charge as an insurance deductible unless an actual insurance or protection program applies. Any payment authorization, security deposit, hold, or collection process for a damage amount will be used only where disclosed, permitted by law, supported by the applicable payment flow, and approved for AYCR's operations.
Owners remain responsible for deciding whether independent insurance coverage is appropriate. AYCR does not provide insurance unless it expressly identifies coverage in a separate written agreement.
